APIs and Credentials: OpenAI and SignNow

### Scanifly Proposal Tool
* Setup and Global Settings
    * APIs and Credentials: OpenAI and SignNow

##### Setup and Global Settings
### APIs and Credentials: OpenAI and SignNow
#### Add an OpenAI key for optional AI assistance, and a SignNow key if you send saved proposals for signature.

APIs and Credentials holds two integrations: an OpenAI key that powers optional AI assistance in the tool, and the SignNow integration for electronic signatures. Neither is required to use the Proposal Tool.

🚧 **Admin only** 🚧
APIs and Credentials is part of global settings, which requires the **Manage proposals** permission.

For more information on Proposal Tool Permissions: Who Can Do What, please see this support article: [link placeholder].

---

##### OpenAI Key

The OpenAI key unlocks the AI assistance features in the tool.

You have two ways to get one:

* Go to OpenAI directly and get your own key.
* Contact Scanifly support and ask for an OpenAI key to use with the software.

##### What AI Does and Does Not Do

This is worth being precise about, because it is the most common misunderstanding about the Proposal Tool.

**AI is not required in the Proposal Tool at all.** You can configure the tool completely, build proposals, and generate exports without ever adding an OpenAI key.

**What AI helps with:**

* Creating custom templates
* Creating custom variables
* Creating the rules associated with those variables

In each case it makes the building process easier. It is a shortcut for you as an admin, not part of how a proposal is calculated.

❗ **IMPORTANT**
AI never performs pricing or savings calculations. Every cost, incentive, payment, and savings figure on a proposal comes from your configured settings and the design data, not from a language model. If you are evaluating whether AI is acceptable in your sales process, this is the fact that matters.

For more information on Custom, AI, and Input Variables, please see this support article: [link placeholder].

##### Related AI Settings

The AI settings related to **AI variables** and **page panel defaults** also live in APIs and Credentials, alongside the key itself. Configure them here once your key is in place.

[NEEDS CLARIFICATION: confirm the exact in-product labels and the individual options available under the AI variable settings and page panel defaults in this panel. The walkthrough confirms these settings live here but does not show or name the individual fields, so an admin cannot configure them from this description alone.]

##### SignNow API Integration

If your company uses SignNow, add your SignNow API key here. Once it is in place, your team can send saved proposals to SignNow for a customer to sign electronically.

Check SignNow directly for more information about their service and about getting your API key.

##### Save Your Changes

❗ **IMPORTANT**
Settings in this panel are preset settings. Nothing is saved until you click **Update Preset**, or choose to discard the change or save it as a new preset. Leaving global settings without doing one of those three loses your work, including a key you just pasted in.

## Draft Notes
*Not part of the published article.*

**Screenshot/GIF capture list:**
1. [Image: Screenshot of the APIs and Credentials panel with the OpenAI key field highlighted]
2. [Image: Screenshot of the AI variable and page panel default settings in the APIs and Credentials panel]
3. [Image: Screenshot of the SignNow API integration field in the APIs and Credentials panel]

All three are the same panel. If the reviewer prefers, use one full-panel screenshot with three callout numbers instead of three separate crops.

When capturing, make sure no real API key is visible in the frame.

**Needs clarification:**
- The exact in-product labels and options under the AI variable settings and page panel defaults, marked inline in the article. This is the largest gap in this draft.
- Whether the key is stored per preset or per company. This draft treats it as a preset setting, on the basis that the walkthrough states global settings changes are generally preset changes. If keys are actually company-wide, the Update Preset callout at the end of this article is wrong and should be removed. **Verify this specifically before publish**, since an admin who adds a key to one preset and expects it in another will file a ticket either way.
- Whether Scanifly-provided OpenAI keys carry any usage limit, cost, or billing implication for the customer. The walkthrough says support can provide a key but says nothing about terms.
- Which OpenAI model is used, if that is something customers ask about for their own AI policy review. Not needed for the article, but likely to come up in support.
- Whether adding a SignNow key requires anything on the SignNow side first, for example a particular SignNow plan.
- Whether there are other integrations in this panel beyond OpenAI and SignNow.

**Publishing note:**
- Per the plan, this article should be cross-listed under the **Integrations** category as well as Setup and Global Settings, so someone searching for SignNow or OpenAI finds it without knowing it lives under the Proposal Tool. C5 carries the same cross-listing note.

**Terminology note:**
- The walkthrough uses "DocuSign" loosely when describing what SignNow does. This draft names SignNow only, since DocuSign is a different vendor and no DocuSign integration exists.

**Suggested cross-references:**
- C5 (Send a Proposal for Signature with SignNow) should link here and does.
- E3 (Custom, AI, and Input Variables) should link here, since AI variables depend on the key.
- F3 (Build Templates with AI) should link here as the prerequisite.
- A1 (Proposal Tool Basics and Key Concepts) carries the "AI is optional and never does pricing math" point and should link here.
- D1 links here from step 4.
