APIs and Credentials: OpenAI and SignNow

Add an OpenAI key for optional AI assistance, and a SignNow key if you send saved proposals for signature.

This article shows you how to add an OpenAI key and a SignNow key in your Proposal Tool global settings.

APIs and Credentials holds two integrations: an OpenAI key that powers optional AI assistance in the tool, and the SignNow integration for electronic signatures. Neither is required to use the Proposal Tool.

📘 Not to be confused with: the API Integrations Panel, which connects a design to hardware, sales, and finance partners like K2 Systems, Unirac, and IronRidge. This article covers the Proposal Tool's OpenAI and SignNow keys only.

🚧 Admin only 🚧 APIs and Credentials is part of global settings, which requires the Manage proposals permission.

For more information on Proposal Tool Permissions: Who Can Do What, please see this support article: Proposal Tool Permissions: Who Can Do What.

OpenAI Key

The OpenAI key unlocks the AI assistance features in the tool.

You have two ways to get one:

  • Go to OpenAI directly and get your own key.
  • Contact Scanifly support and ask for an OpenAI key to use with the software.

What AI Does and Does Not Do

This is worth being precise about, because it is the most common misunderstanding about the Proposal Tool.

AI is not required in the Proposal Tool at all. You can configure the tool completely, build proposals, and generate exports without ever adding an OpenAI key.

What AI helps with:

  • Creating custom templates
  • Creating custom variables
  • Creating the rules associated with those variables

In each case it makes the building process easier. It is a shortcut for you as an admin, not part of how a proposal is calculated.

IMPORTANT AI never performs pricing or savings calculations. Every cost, incentive, payment, and savings figure on a proposal comes from your configured settings and the design data, not from a language model. If you are evaluating whether AI is acceptable in your sales process, this is the fact that matters.

Related AI Settings

The AI settings related to AI variables and page panel defaults also live in APIs and Credentials, alongside the key itself. Configure them here once your key is in place.

SignNow API Integration

If your company uses SignNow, add your SignNow API key here. Once it is in place, your team can send saved proposals to SignNow for a customer to sign electronically. SignNow is a third-party electronic signature service, separate from Scanifly.

Check SignNow directly for more information about their service and about getting your API key.

Save Your Changes

IMPORTANT Settings in this panel are preset settings. Nothing is saved until you click Update Preset, or choose to discard the change or save it as a new preset. Leaving global settings without doing one of those three loses your work, including a key you just pasted in.
